Navigating the HR Portal

The Human Resources portal is loaded with essential information, helpful resources, and printer-friendly forms and applications that are accessible 24 hours a day. The content is designed to meet the needs of a variety of users including staff employees, faculty, outside job applicants, departmental Human Resources representatives, supervisors, and managers.

Whether you’re a first time user or are a frequent visitor, finding the information you need is easy. There are three distinct ways to find material: you can use the navigation bar on the left side of the portal, the search function at the top right of the page or Quick Links near the bottom of the site.


Navigation Bar

The navigation bar lists specific employee-related sections of the portal including Benefits, Career Opportunities, Child Care, Conflict Resolution, Employee Counseling, Management & Supervision, Policies & Labor Contracts, Staff Diversity, Training & Development, and Workers’ Compensation. The last entry on the navigation bar is HR Administration. This area is designed exclusively for departmental HR representatives and contains information targeted to their requirements such as Compensation & Classification, Personnel Transactions, and Recruiting & Hiring.

To use the navigation bar, simply scroll over the area of interest and click. This will take you to a corresponding overview page where you can zero in on more detailed subjects until you find exactly what you’re looking for. This method is a good choice if you have a general idea of what you’re looking for and want to see all the available information covered by your area of interest.


Quick Links

For easy and convenient access to some of the portal’s most popular areas, simply go to the “Quick Links” bar. Located near the bottom of the HR News & Events and HR Administration News sections, Quick Links take you to the following sections in just one click:

  • Career Opportunities
  • HR Forms
  • Training Classes
  • Title & Pay Plan
  • UC At Your Service

Quick Links are ideal if you know exactly what section of the portal you want to go to or if you visit that specific area often.


Breadcrumb Navigation

If you feel like you took too many clicks past your destination, “breadcrumbs” will quickly get you back to your starting location. Positioned directly above the image at the top of each page, the breadcrumb bar keeps track of every section you visit on the portal. So if you venture off your desired path, simply click on each section in the breadcrumb bar until you find your original trail.


Search Function

In the upper right corner of the portal page is the Search function, which may help reduce the number of clicks to a particular topic. Simply type in the subject (e.g. benefits), title (e.g. UC Sexual Harassment Policy) or specific portal area (e.g. HR Calendar) and click on the arrow button.

This tool searches UCLA’s entire web content. Items published on the portal are marked with a distinctive yellow “portal” icon. Using the search function may work well if you have a specific topic, exact title or particular form in mind and want to get to it quickly, or if you’re not sure which subject area of the portal the content belongs.


Identify Your User Type

Now that you’ve decided how to locate information on the portal, the next step is to visit the areas of the site that are best suited for your needs. The portal targets three user types, and its content is categorized accordingly. The user types are:

1. Staff, faculty, annuitants, visitors
2. HR representatives
3. Supervisors and managers


Staff, Faculty, Annuitants, Visitors

For an employee, the portal is an ideal resource for getting human resources-related information any time of the day or night. Need to know about UC medical, dental or vision plans? Click on Benefits on the navigation bar or use the search function. Interested in training opportunities? Look no further than Training & Development. Need personal support? Go to Employee Counseling to learn about the Staff & Faculty Counseling Center’s programs. Represented by a collective-bargaining unit and want details on applicable vacation accrual and holiday pay? Look under Policies & Labor Contracts. Want the latest Human Resources news you can use? Check out the News & Events section on the portal home page.


HR Representatives

To accommodate the specific needs of those who administer human resources policies and programs, the HR Administration section of the portal was developed. This area contains essential administrative tools such as forms, sample documents, pay ranges, charts, guidelines, and consulting services, to name a few of the resources available. Need to reclassify a staff position? Go to Compensation & Classification. Looking for a Reduced Fee Enrollment Application? It’s under Personnel Transactions. What about developing applicant interview questions? Check out Recruitment & Hiring. And for the most current news relating to HR representatives, visit the HR Administration News section.


Supervisors and Managers

From implementing University policies and procedures to achieving strategic, programmatic and operational objectives, supervisors and managers are charged with an array of responsibilities unique to their positions. The Management & Supervision section of the portal includes services and tools to help supervisors and managers improve their leadership and organizational skills, enhance their understanding of University policies and procedures, as well as encourage career growth for themselves and those they supervise.


Navigate with Confidence

Explore the site using the navigation bar, search function or a combination of both features and be sure to visit the areas designed for your specific needs. The HR News & Events and HR Administration News sections are updated on a daily basis so you may want to bookmark these two areas and go to them often.
