2005-2006 Winter Holiday Closure

DEANS, DIRECTORS, DEPARTMENT CHAIRS, and ADMINISTRATIVE OFFICERS

Re: 2005-2006 Winter Holiday Closure

In June 2004, the Chancellor approved an annual Winter Holiday campus closure, as recommended by the Energy Conservation Task Group. The campus achieved $250,000 in energy savings through the 2004-2005 Winter Holiday closure.

We are writing to let you know that for the 2005-2006 Winter Holiday, the UCLA campus is scheduled to close for 10 days between Saturday, December 24, 2005, and Monday, January 2, 2006, and will reopen on January 3, 2006. However, the UCLA Hospital System and essential-service facilities will remain open during this period. Deans, Vice Chancellors or Organization Heads to whom this responsibility has been delegated will need to determine if any facilities under their purview will need to stay open and plan for appropriate staffing.

Several University holidays will be observed during the closure: December 26, 27 and 30, 2005, and January 2, 2006. However, December 28 and 29 are not paid holidays and staff employees and those academic employees who accrue vacation leave will need to use either vacation, compensatory time (if available), or leave without pay to compensate for these two work days. In accordance with regular procedures for scheduling vacation, employees should notify their respective supervisors in advance as to which option or combination of options they propose to use.

The following approach is proposed for represented employees, as provided under the applicable labor agreement, and for policy-covered staff employees and academic employees who accrue vacation:

  • Employees may utilize vacation days in advance of their actual accrual.
  • Newly hired employees, represented and policy-covered, may utilize their vacation accruals without having six continuous months on pay status.
  • Employees with accrued compensatory time may elect to use it to cover the two days off or to offset the use of vacation time.
  • Employees who do not wish to use vacation or compensatory time off may request leave without pay for the two working days based on departmental approval. In this case, employees will not lose hourly vacation or sick leave accruals for these two days.

Prior to the holiday closure, Facilities Management will provide a detailed list of campus buildings that will be affected by this energy-savings measure. If you have any questions or comments regarding the 2005-2006 Winter Holiday closure, please contact Campus Human Resources at (310) 794-3147 or Healthcare Human Resources at (310) 794-0500.
