Dear Colleagues:

With the ongoing challenges we are facing due to the COVID-19 emergency, and the extraordinary efforts of UCLA’s employees to ensure the University continues to provide essential services, it is more important than ever for managers and supervisors to connect with staff regarding their accomplishments and job expectations throughout the performance review process. As you know, the reviews are a key component of employee development and are required as described in Personnel Policies for Staff Members (PPSM) 23 (PDF).

In light of the current work environment, the UC President has provided flexibility for campuses to extend the timeframe for performance reviews that are usually done prior to June 30 to the Fall of 2020. This is to ensure that the review process is meaningful and productive. However, regular check-ins and coaching sessions throughout the year should be occurring, especially during this challenging period. We encourage you to ask faculty and staff in a supervisory role to communicate with those they supervise on a regular basis, particularly to ensure their engagement and well-being. To that end, CHR’s Training & Development team will be offering “Performance Management Refresher” Zoom sessions in the coming weeks. The refresher is designed to help supervisors utilize the performance management tools that are available. Dates and Zoom times for the refresher sessions will be available soon, and we also plan to offer recorded webinars. Later in the year, we will provide additional information regarding the due date for completing the formal annual evaluation process. For staff reviews, we recommend use of the streamlined Performance Evaluation Form (DOCX), as well as the Performance Evaluation Guide (DOCX) that clearly explains the performance management process. In addition, the Employee Self-Appraisal Form (DOCX) is recommended for inclusion in the review process so that employees can summarize their contributions.

UCLA Health Human Resources announced a pause on performance evaluations several weeks ago given their current conditions. When circumstances change in the health environment, UCLA Health HR will provide directions on next steps.

With so much of our energy being focused on COVID-19 related matters, it is extremely important that we allow time for meaningful feedback and communications between supervisors and employees. The performance appraisal is an opportunity to reflect on the year’s accomplishments, discuss career development, and set expectations for meeting professional and departmental goals.
