How to Close a Job

When you have a candidate who has accepted an offer, you will need to officially close the job. To do this, you submit an Offer Verification Notice (OVN) to Employment Services. This should be done as soon as possible after the offer is accepted; you do not need to wait until the person begins work. You can obtain the OVN by clicking the link to the right. Also, fax a copy of the selected candidate's resume to Employment Services at fax (310) 794-0895. If the selected candidate is already employed at UCLA and is proposed to receive an exceptional salary increase (over 15%), also fax the approval letter from Compensation. Please retain all recruitment and selection files (resumes, applications, notes, interview questions, rating guides, etc.) for three years from the conclusion of the search. In addition, if you have not already done so, you should contact either via telephone or letter any other candidates who were not chosen. As a practice, UCLA does not give out reasons for non-selection. You can also find sample letters using the link, Communicating to Applicants & Candidates, to the right.
